When booking an appointment at Banbury Glow Clinic you agree to our Terms & Conditions - Please read the following carefully.
At Banbury Glow Clinic we try to be as fair as humanly possible. When cancelling/rescheduling, we don't favour one reason over another, as everyone's reason is valid. The terms will apply to any and all reasons. We ask for your kind understanding as a small business being unable to carry out the work as planned and the impact this has; we thank and appreciate each and every one of you for this.
Cancellations
A booking fee is paid for each treatment when you make a booking. This fee varies across treatments and comes off the total owed on the day.
If you wish to book a consultation & patch test, the fee for this is £15 - you will pay a £15 booking fee when you book, and this comes off on the day. This is a fixed fee for the consultation & patch test, room use, machine use, your practitioners expertise, and does not go towards future treatments. Once you have attended your appointment on time and have arrived ready to have your patch test as per the requests in your confirmation email - should you have an adverse reaction to a patch test, any future booking fees you have paid will be refunded however the consultation & patch test fee pays for having the patch test itself regardless of your response to treatment. Cancelling your patch test or appointment once booked will result in losing your booking fee.
Making a booking when you are not able to have the treatment (unsuitable for any reason) and didn't check with us beforehand (under 18, pregnant, breastfeeding, some medical and/or skin conditions(past and current) or taking any medications/too tanned/wearing fake tan/brought under 18 with) will mean that your booking fee either goes towards a treatment that you can have, or held until you are in a position to have the treatment, or would mean being forfeited if you are unable to go ahead at all or gave less than 72h notice of your unsuitability. Clients are expected to do their research and check with us beforehand if they are unsure on any of the above before booking.
No booking fees are refunded under any circumstances.
Rescheduling
Rescheduling 72-24h before your treatment will result in you losing 50% your booking fee. Rescheduling can be done with ample notice (over 3 days) free of charge once. The second reschedule will result in 50% of the booking fee being lost even if ample notice is given. A new booking will need to be made and 1.5 booking fee's will come off on the day.
Rescheduling less than 24h before your treatment for any reason will result in 100% of the booking fee being lost.
If sufficient notice is given (72+ hours) your full booking fee will roll over to the next available appointment.
Booking fees will not be refunded under any circumstances.
There may be circumstances where a different technician to the one you booked with may need to do your treatment, we are not obliged to inform you of the change of technician beforehand, we will always ensure that any and all appointments are honoured wherever possible despite staff being unable to work for whatever reason and that means other staff members helping to cover other hours.
Packages
If you have paid for a package (or part of a package) up front and you miss your appointment, turn up too late to go ahead, turn up unsuitable for treatment eg too tanned or don't give the required notice to reschedule, you will lose the relevant booking fee for the missed appointment and this will need to be paid up front before your next appointment. An invoice will be sent and your booking will be cancelled if it is not paid on time. EG if your booking was for underarms, the booking fee for underarms is £20, so you will have to pay £20 before you can attend any future appointments.
Pregnancy
Clients are asked to not begin a treatment if they are trying to get pregnant. Falling pregnant mid way through a treatment may mean your results are affected if a full course is not completed.
Cancelling/rescheduling terms apply as normal but we will be unable to carry out any treatments on pregnant or breastfeeding clients.
Lateness
Running late puts pressure on the daily schedule. Please notify us as soon as possible to see if we can still accommodate your appointment. If your appointment needs to be rescheduled due to your lateness it will be recognised as a no-show and the following applies:
If the time left is sufficient to go ahead then the treatment will go ahead however we cannot guarantee you will get the full time that would have originally been given to you and we will do what we can within the time. Full treatment price will be payable.
If insufficient time is left to do the treatment it would be classed as a no show and the booking fee would be lost.
Shorter appointments are much less likely to be able to go ahead with excessive lateness so please allow extra time for your journey.
It is not acceptable to show up late and ask for a reduction in price in proportion to the reduction in time.
Additional Information
Cash or bank transfer payments only. No cheques etc.
Deciding last minute to add an additional service to your treatment is often not possible. Please give as much notice for this as possible as it requires more time to do more treatments. Discounts for multiple bookings are generous so please decide ahead.
It is the clients responsibility to let us know of any change in contact details or in letting us know alternative ways to contact..
If you act in a way that is abusive or untoward you will be asked to leave the premises. We reserve the right to refuse custom at any time if any abuse or negative behaviour has occurred, no refunds will be given.
GDPR

We are required by law to document what personal information we keep for all clients. At the time of booking your appointment your full name and contact details will be taken. At your appointment further contact details, a medical history and consent will be recorded as required by law.
These records are kept private and confidential. You have the right to request to see your forms at any time.
We do not send marketing emails or letters however we aim to adhere to the GDPR rules and changes. We do not pass on any information to any other third parties or use the information for any other way other than relating to your cosmetic treatments.
We legally have to keep your information (address, contact details, what treatment you had on what date, and also photographs for legal reasons) for 5 years. Failure to do this results in a void in insurance.
